Administrative Assistant [Belgium]


 

Description


We are looking for an energetic and outgoing Administrative Assistant to ensure the smooth running of our office facility in Namur, Belgium.

Reporting to the Operations Director, the Administrative Assistant will be a key ‘go to’ person for our R&D and Production facilities and offices in Namur.

The role will have a wide variety of duties including:

Key Responsibilities


  • Sorting and handling in and outbound correspondence
  • Managing the reception desk, dealing with visitors and deliveries
  • Answering the phone
  • Dealing with Purchase orders
  • Maintaining & filing signed contracts
  • Managing bookings and supporting to arrange larger company meetings and events (conference rooms, restaurant/catering arrangements etc)
  • Managing and ordering office supplies
  • Coordinating the resolution of facility maintenance requests
  • Intervening in case of onsite alarms
  • Taking notes and coordinating meeting invites etc. for some specific meetings
  • Elaborating, implementing and improving office operations and procedures
  • Resolving administrative problems, inquiries and requests
  • Applicating for administrative subsidies (Walloon Region, travels…).


Your Profile


Essential
  • Great communicator (spoken and written) who enjoys working with people from across our global business at all levels
  • Fluent in French and English
  • Strong organization skills, able to prioritize workload and tasks effectively
  • Good computer skills (MS Word, Excel and PowerPoint)


Preferred
  • Bachelor’s degree in administrative management or equivalent experience for at least 2 years
